Job Description

The Law Offices of Daniel Kim is the leading personal injury law firm in Orange County, committed to operational excellence and technology-driven growth. With a strong focus on automation, systems integration, and data infrastructure, the firm’s engineering and IT organization is scaling rapidly to support its nationwide expansion.

As a member of the technology team, the Executive Assistant will play a critical role in supporting the CTO and technology leadership in day-to-day operations, strategic planning, and project coordination. This position is designed to grow into a Project Manager role, with increasing ownership over cross-functional initiatives, systems rollouts, and workflow automation projects.

Role Overview

The ideal candidate is an organized, tech-savvy, and adaptable Executive Assistant to the Chief Technology Officer (CTO) with a passion for technology and systems thinking. You will be embedded within the engineering and IT team, providing tactical support to the CTO and building the foundation for a future role in technical program and project management.

This is not a traditional administrative role — you'll act as collaborator and project manager, supporting vendor coordination, IT procurement, scheduling, documentation, KPI tracking, and project communications.

KEY RESPONSIBILITIES

● Manage CTO calendar, priorities, and communications, ensuring optimal time allocation across technical initiatives.

● Coordinate meetings, sprint reviews, and vendor calls with internal and external stakeholders.

● Document meeting outcomes, create follow-up tasks, and track project progress across Asana, ClickUp, or JIRA.

● Maintain and organize technical documentation, diagrams, and access credentials.

● Assist with onboarding and offboarding of IT and engineering personnel, including systems access and hardware coordination.

● Support procurement of software, hardware, and SaaS tools; maintain vendor contacts and renewal calendars.

● Prepare internal reports on OKRs, engineering milestones, and vendor SLAs.

● Help enforce cross-team process consistency by coordinating checklists, approvals, and compliance requirements.

● Manage multiple projects and track progress in multiple workstreams

● Shadow project managers and engineers to understand workflows and begin taking ownership of tactical initiatives.

MINIMUM QUALIFICATIONS:

• 3+ years of experience in an executive assistant support C-Suite, project coordinator, or technical support role.

• Strong interest in IT systems, software development, or technical operations.

• Exceptional organizational and time management skills, with a strong bias toward action.

• Advanced skills using tools such as Google Workspace, Slack, Asana, Notion, and Excel; familiarity with project tools like JIRA, Confluence, or ClickUp a plus.

• Proficient in project management tools and software (e.g., Smart sheets, Jira, Trello, Monday, etc) to streamline processes, enhance collaboration, and deliver successful project outcomes.

• Strong analytical mindset with a focus on measuring outcomes and driving continuous improvement.

• Ability to manage competing priorities in a fast-paced, high-stakes environment.

• Excellent written and verbal communication skills, including technical writing.

• Comfortable interacting with engineers, IT administrators, vendors, and executives.

• Highly resourceful, proactive, and eager to learn new technologies and systems.

• Strong work ethics and integrity

PREFERRED QUALIFICATIONS:

● Experience supporting technical departments (IT, DevOps, Engineering, Data).

● Familiarity with agile methodologies, product lifecycles, or change management.

● Exposure to IT asset management, access provisioning, or vendor onboarding.

● Interest in developing into a project management, technical program management, or systems operations role.

● Project Management Certification (PMP) preferred
