Job Description

The Executive Assistant will be responsible for providing administrative support to the office of the CEO. This position will be responsible for performing a number of administrative duties, including but not limited to proactively managing work, schedules, meetings, travel, etc. The Executive Assistant will possess excellent written and verbal communication skills, exercise mature and professional judgment, and have outstanding time management skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Handles all administrative and clerical duties to ensure the smooth operation of assigned department(s).
  • Maintains strict level of confidentiality while managing a high volume of confidential information.
  • Coordinates schedules, meetings, agendas, travel, expense reporting, etc.
  • Provide extensive travel coordination, including complicated itineraries, multiple itineraries at the same time, and the possibility of obtaining travel visas.
  • Organizes and maintains file systems, correspondence, and other records (paper and electronic as required).
  • Possess effective telephone management skills at all levels – from employees, to Board Members, and internal/external customers.
  • Composes spreadsheets, presentation materials and internal/external correspondence.
  • Provides support during events and meetings, including Board of Director meetings.
  • Collaborate with executive team members and their staff to help execute and prioritize business strategies.
  • Provide tactical support to implement ideas; provide support for special projects and initiatives.
  • Identify and help solve core problems or opportunities within business processes.
  • Improve efficiency of executive by taking initiative to set meetings and minimize work conflicts.
  • Understand business acumen and how their roles fit with the broader business goals.
  • Energetic and eager to tackle new projects and ideas.
  • Team player capable of cultivating productive working relationships enterprise-wide.
  • Provide department leaders with recommendations and consultation to improve teamwork.
  • Comfortable with decision-making authority - identify issues and provide workable solutions, then communicate only the pertinent details to the executive, who may or may not follow up with additional direction.
  • Plan, oversee, and implement strategic initiatives. This requires experience with project coordination, budget management, data analysis, and strong decision-making skills.
  • Plan, coordinate, and implement key strategies on the behalf of the Chief Executive Officer.
  • Other duties as assigned.

EDUCATION and/or EXPERIENCE

  • At least five years of experience supporting the c-suite.
  • Bachelor’s Degree required.
  • A strong understanding of general corporate matters and duties are essential.
  • Advanced Microsoft Office skills, PowerPoint, Excel, and Word, with an ability to become familiar with Company and/or task specific programs and software.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Experience with project coordination, budget management, data analysis, and strong decision-making skills.
  • Must be able to work flexible hours - available evenings and weekends as needed.
  • Experience handling confidential information and adhering to strict deadlines.

PREFERRED QUALIFICATIONS

  • Master’s degree or MBA preferred

WORKING CONDITIONS AND PHYSICAL DEMANDS

Work is typically performed indoors in an office environment. The noise level in the work environment is usually quiet. Incumbents must be able to perform work that requires typing, reading, communicating, sitting for prolonged periods of time, standing, and walking.

The employee:

  • Is regularly required to use hands to type, touch, handle, or feel
  • Is frequently required to stand and reach with hands and arms
  • Is occasionally required to walk and climb or balance
  • May occasionally be required to lift and/or move up to 15 pounds

In the event that the incumbent visits an operations worksite, personal protective equipment including but not limited to head protection, hearing protection, safety glasses, safety shoes, and flame-resistant clothing may be required.

COMPENSATION AND BENEFITS

The targeted compensation range for this position is $90,000 – $105,000. Compensation is commensurate with experience and skill set.
