Job Description

Executive Assistant to Founders (Full-Time)

Haldon House is a bespoke design and project management firm based on the Main Line, offering creative direction, architecture, and interior design with an obsessive attention to detail. We’re fast-paced, hands-on, and building something truly personal—and we’re looking for an Executive Assistant who thrives in that kind of environment.

This isn’t a traditional desk job, and it’s not the right fit for someone who wants to delegate or stay hands-off. You’ll be a key support to the co-founders in both business and life—organizing chaos, solving problems before they become problems, and keeping the train moving no matter what’s on the tracks.

What You’ll Do

  • Manage calendars : Coordinate meetings, protect deep work time, and ensure nothing slips through the cracks

  • Triage emails and communications : Know what needs a reply, a follow-up, or silence—sometimes drafting or responding on behalf of the founders

  • Book travel and handle logistics : Make reservations, plan events, and manage occasional personal errands

  • Prepare for meetings : Take notes, set agendas, and follow through on action items

  • Manage light bookkeeping : Handle reimbursements, invoicing, and expense tracking

  • Coordinate with vendors and teams : Work across clients, contractors, vendors, and internal team members

  • Organize files and systems : Ensure information is logically stored, easy to access, and up-to-date

  • Bridge work and home : Provide occasional household or family support (appointments, errands, scheduling)

  • Travel and flex as needed : Be open to occasional weekend hours or travel

Ways You’ll Add Value

  • Track internal projects and follow-ups using tools like Notion or Asana

  • Support with basic dashboards and reporting (sales, client activity, etc.)

  • Draft and polish communications—emails, docs, or presentations

  • Coordinate team onboarding and support a warm, organized culture

  • Research services, tools, vendors, and trends as needed

  • Suggest better workflows and help us stay ahead of inefficiencies

  • Handle confidential info (contracts, HR, finances) with care

  • Anticipate what’s next—and help us stay two steps ahead

  • Delegate/outsource small tasks where appropriate (e.g., deliveries, TaskRabbit)

Requirements

  • 3+ years in a high-level executive support role

  • Strong communication and organizational skills

  • High proficiency in Google Workspace and Excel

  • Valid driver’s license and reliable transportation

  • Experience working in fast-paced or high-touch environments

  • Comfortable handling sensitive and confidential information

Compensation & Perks

  • Salary: Competitive compensation based on experience

  • Schedule: Full-time, primarily Monday–Friday, with some weekend flexibility

  • Location: In-person in Bryn Mawr, PA (occasional travel possible)
